BeanCraft Inc. ("we," "us," or "our") is committed to protecting the privacy of individuals who visit beancraft.one, submit enquiries, purchase brewing accessories, and participate in our community review programme. This Privacy policy describes how we collect, use, disclose, retain, and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy legislation, and applicable Ontario privacy requirements. 1. Accountability
BeanCraft Inc. is responsible for personal information under our control. We have designated a privacy officer accountable for our compliance with PIPEDA. Our privacy officer responds to enquiries within thirty calendar days unless an extension is permitted under applicable legislation.
We maintain internal policies and procedures governing the collection, use, and disclosure of personal information across our accessory dispatch, showroom demo, warranty bench, and community review workflows. All employees and contractors who handle personal information receive orientation on these policies and are bound by confidentiality obligations appropriate to their role.
2. Identifying purposes
We identify and document the purposes for which personal information is collected before or at the time of collection. The primary purposes for which BeanCraft Inc. collects personal information include:
- Responding to accessory enquiries, product review questions, order dispatch requests, and general inquiries submitted through our contact form or email;
- Processing accessory orders, dispatch confirmations, and warranty bench intake;
- Managing community reviewer applications, verification, and review submission workflows;
- Scheduling showroom demos and comparison sheet requests at our ByWard Market studio;
- Operating and improving the beancraft.one website, including analytics on page usage and user experience where consent has been provided;
- Complying with legal and regulatory obligations under Ontario and Canadian federal law;
- Maintaining records required for warranty registration, tax compliance, and consumer protection obligations;
- Sending marketing communications about BeanCraft accessory lines and community review opportunities, where you have provided explicit consent.
We will not use personal information for purposes other than those identified at the time of collection, except with your consent or as permitted or required by law.
3. Consent
Knowledge and consent of the individual are required for the collection, use, or disclosure of personal information, except where inappropriate or permitted by law. Consent may be express or implied depending on the circumstances and the sensitivity of the information.
When you submit our contact form, you must actively check the consent checkbox confirming that you agree to our collection and processing of your personal information in accordance with this Privacy policy and PIPEDA. We do not pre-check consent boxes. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our privacy officer. Withdrawal of consent may limit our ability to respond to your enquiry or fulfil accessory orders.
For community review submissions that include brew protocol data linked to your identity, we obtain express consent before publishing any attributed review content on beancraft.one or associated rating cards.
4. Limiting collection
We limit the collection of personal information to that which is necessary for the purposes identified. Information collected through our contact form includes your name, email address, subject selection, and message content. For accessory orders, we may additionally collect shipping address, phone number, and payment information processed through our payment service provider — but only to the extent required to fulfil the specific order.
We collect personal information by fair and lawful means and do not collect information through deceptive practices. Our website includes a honeypot field named "website" on the contact form to deter automated submissions; this field is hidden from human users and any data entered into it is discarded without processing.
5. Limiting use, disclosure, and retention
We do not use or disclose personal information for purposes other than those for which it was collected, except with your consent or as required by law. Personal information is retained only as long as necessary to fulfil the identified purposes or as required by applicable legislation, including Ontario's Limitations Act and federal tax record-keeping requirements.
We may disclose personal information to the following categories of third parties, strictly for the purposes described in this policy:
- Service providers who assist with email delivery, website hosting, analytics, payment processing, and shipping logistics, bound by contractual obligations to protect personal information;
- Legal, accounting, and financial advisors engaged in regulatory compliance or dispute resolution;
- Accessory manufacturers and distributors, where disclosure is necessary to fulfil warranty bench repairs or spare-parts dispatch and you have consented to the service;
- Government authorities, regulatory bodies, or law enforcement agencies when required by Ontario or Canadian federal law, court order, or legal process.
We do not sell personal information to third parties. We do not disclose personal information to organisations outside Canada without your consent, except where permitted under PIPEDA's cross-border transfer provisions and subject to contractual safeguards ensuring comparable protection.
6. Accuracy
Personal information shall be as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. You are encouraged to notify us of changes to your contact information, shipping address, or other personal details by emailing [email protected]. Order and warranty records may be updated through our ByWard Market studio during in-person visits.
7. Safeguards
We protect personal information with security safeguards appropriate to the sensitivity of the information. These safeguards include:
- Transport Layer Security (TLS) encryption for data transmitted through beancraft.one;
- Access controls limiting personal information to authorised employees and contractors on a need-to-know basis;
- Secure storage of physical and electronic records at our Ottawa ByWard Market studio;
- Regular review of security practices and incident response procedures;
- Password policies and multi-factor authentication for internal systems containing personal information.
While we implement commercially reasonable safeguards, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security but commit to notifying affected individuals and the Office of the Privacy Commissioner of Canada of any breach of security safeguards involving personal information, as required under PIPEDA's breach notification provisions.
8. Openness
We make readily available to individuals specific information about our policies and practices relating to the management of personal information. 9. Individual access
Upon written request, we will inform you of the existence, use, and disclosure of your personal information and provide access to that information, subject to limited exceptions permitted under PIPEDA. You may request correction of inaccurate or incomplete personal information. We will respond to access requests within thirty calendar days unless an extension is permitted.
To submit an access request, contact our privacy officer at [email protected] with sufficient detail to identify the information sought. We may request verification of identity before processing access requests to prevent unauthorised disclosure.
10. Challenging compliance
You may challenge our compliance with these privacy principles by contacting our privacy officer. We will investigate all complaints and respond with our findings and any corrective action taken. If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
11. Website analytics and cookies
Our website uses cookies and similar technologies as described in our Cookie policy. Analytics cookies are deployed only with your consent, managed through our cookie consent banner offering Accept all, Reject all, and Customise options. Consent preferences are stored for six months. You may change your cookie preferences at any time by clearing your browser cookies and revisiting the site.
12. Children's privacy
BeanCraft accessory services are directed at adults. We do not knowingly collect personal information from individuals under the age of eighteen. If we become aware that personal information has been collected from a minor without parental consent, we will take steps to delete that information promptly.
13. Changes to this policy
We may update this Privacy policy from time to time to reflect changes in our practices, technology, or legal requirements. The effective date at the top of this page indicates when the policy was last revised. Material changes will be communicated through a notice on our website. Continued use of beancraft.one after changes are posted constitutes acceptance of the revised policy, except where further consent is required by law.
